A. General data processing information
We are committed to protecting your personal data processed during your use of our website, www.traser-software.de. The following sections will describe how we collect, electronically store and process your data.
- Personal data
Pursuant to the General Data Protection Regulation (GDPR) Article 4(1), ‘personal data’ means any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person is one who may be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an on-line identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.
Accordingly, ‘personal data’ shall refer to any information including your name, address, phone number and e-mail address as well as your current location, your IP address or your bank information. Your use of this website does not require you to disclose any of your personal data. In certain cases (e.g. when using our Portal), however, we will ask for your name and address as well as other data as required for a contract or preliminary agreement between you and us or between the user parties to enable us to perform the required services.
- How we process personal data
We will only process our users’ personal data if this is necessary for deploying a fully functional website or for providing our contents and services. Your personal data will not be regularly processed unless we have obtained your consent as a user.
This does not apply, however, if storing and processing your data is permitted by law or required for technical or operational reasons (e.g. complying with contractual conditions, IP address). Any other cases will be outlined below in describing the relevant storage processes.
- Disclosure of personal data to third parties and recipients
Your personal data will not be disclosed to third parties or recipients unless you have given us your required prior consent.
TRASER will not disclose your data to third parties unless TRASER is required by law to do so.
Personal data will not be collected or transferred to government institutions and bodies entitled to receive such data unless permitted by the relevant laws or unless we are obliged to do so by judicial decision.
TRASER will not pass on your data to private third parties, except in the case of external service providers (e.g. when sending e-mails) performing services on behalf of and by order of TRASER. We commit our employees and service providers to treat confidentially and protect any personal and business data received from us.
In certain cases we may make use of third-party extensions. This process may include the disclosure or automated transfer of personal data. The type, scope, purpose and duration of this process of personal data processing may vary from time to time. Therefore we shall consider each individual third-party service used for our website to check whether such usage may include the disclosure of any personal data. Accordingly, we shall add this data processing process to our privacy notice as specified.
We may transfer personal data to third parties in the relevant cases described in this Privacy Notice.
- Automatic collection of technical data (server log files)
Whenever our website is visited, our system will automatically collect data and information on the visiting user’s computer system.
This data is also stored among our system’s log files. This data, however, is not stored in conjunction with any other personal data relating to the user.
In this process, the following information is stored for organisational and technical reasons:
- Downloaded file names
- Referrer URLs (page providing the link to the website visited)
- Your truncated, anonymised IP address
- Browser type and version information
- Your operating system name and version
- Website access date and time
- Websites leading your computer system to our website
The legal basis for the temporary storage of data and log files is our legitimate interest pursuant to GDPR Article 6(1) point f.
The IP address is required to be (temporarily) stored in the system to enable the website to be delivered to the user’s computer. To achieve this, the user’s IP address shall be stored for the duration of their session or beyond.
We shall evaluate such technical data in order to further optimise our website and to make our on-line offerings even more attractive. Such data will be deleted once it is no longer needed to achieve the purpose for which it was collected.
After 30 days such technical data will automatically be deleted. Collecting such data for the deployment of the website and storing such data in log files is essential for the operation of the website. Therefore, the user has no legal right to object.
- Processing IP addresses
We shall process our website users’ IP addresses in the following cases.
An IP address is a unique numerical code used by your computer to retrieve data or upload data to the Internet. Usually we will have no information on the person behind the relevant IP address, which means we are unable to associate the data with a specifically identifiable person.
Exceptions are as follows: During your use of our website you voluntarily provide us with an e-mail address or other data that enables us to identify you. Furthermore, you may be identified if we decide to take legal action against you (e.g. in the case of attacks against our website) and we become aware of your identity as part of the investigation procedure. This means that usually we will not be able to associate the subsequent data with any person specifically identifiable to us.
- Purpose
On the legal basis stated for each case, TRASER will process the personal data you provided on-line for no purposes other than those listed below.
B. Personal data processing by TRASER Software GmbH as a company
Deployment of the public website
The TRASER website shall be deployed for all users and visitors at www.traser.software.de.
- Processing your IP address through web servers
For technical reasons, the on-line services offered by the relevant publisher cannot be used without disclosing your IP address. This address will be processed by the web servers delivering such on-line websites. The data processed for the purpose of delivering our web pages shall not be anonymised.
- Encrypted data transmission
Whenever we collect and process personal data on-line, such information shall be encrypted (using https) to prevent third parties from misusing such information. Our measures of protection shall be constantly improved as relevant technologies become available.
- Use of cookies
When you visit our homepage, various types of information will automatically be transmitted to us.
The TRASER website uses cookies. Cookies are text files stored inside the web browser or by the web browser on the user’s computer system. Once the user opens a website, one or more cookies may be stored on the user’s operating system (or downloaded to their terminal device).
Some cookies used by us (referred to as session cookies) will be deleted after you exit your web browser. Other cookies will remain stored on your terminal device, enabling us to recognise your browser the next time you visit our website (persistent cookies). Such cookies may contain a string of characters enabling the browser to be uniquely identified once the website is opened again.
We may use the following cookies:
- 4 cookies for the WP Cerber Security & Antispam security plug-in – expires after 24 hours
- Google.com: NID cookie – expires after approx 6 months (via YouTube integration)
- YouTube.com: 3 cookies (CONSENT / PREF / VISITOR_INFO1_LIVE) – expires after approx 6 months or up to approx 20 years
- YouTube.com: 1 session cookie (YSC).
- 3 Google Analytics cookies: _ga (expires after 2 years), _gat () and _gid (expires after 24 hours)
- _icl_current_language: Stores the currently selected language – expires after 24 hours
- openstreetmap.org: qos_token (expires after 1 hour)
In addition, we may store your language settings and login credentials. These cookies enable us to analyse our users’ browsing behaviours.
This in turn enables the following data to be transmitted:
- Search terms entered via the browser
- Frequency of website visits
- Usage of website features and functionalities
While using our website you will be notified of any cookies to be set, enabling you to give or deny your consent in each individual case.
While you visit our website, an information banner or a corresponding window will notify you of the use of cookies for analysis purposes, referring you to this Privacy Notice.
If you decide not to accept the use of cookies you may experience limited functionality of our website.
We may use cookies required or not for technical purposes without obtaining the user’s prior consent.
The legal basis for processing personal data by using technically required session cookies is GDPR Art. 6(1) point f.
The legal basis for processing personal data by using other types of cookies is your declaration of consent pursuant to GDPR Art. 6(1) point a.
The legal basis for processing personal data by using other types of cookies for analysis purposes is GDPR Art. 6(1) point a if the user has given their prior consent concerning this matter.
We shall use technically required cookies such as session cookies for our Portal to manage and safeguard login sessions as follows:
- Map displays (Quality of Service = openstreetmap.org) – expires after 1 hour
- Adoption of language settings (icl_current_language) – expires after 14 hours
- Storage of search terms
In addition, for analysis purposes, we may use cookies not required for technical purposes.
Analysis cookies are used to improve the quality of our website and its content. We may use analysis cookies to analyse how the website is used, enabling us to continually optimise our offering.
This purpose also includes our legitimate interest in processing personal data pursuant to GDPR Art. 6(1) points a/f.
- Google Analytics
We use Google Analytics to collect and evaluate your behaviour as a user. Google Analytics is a web analytics service offered by Google Inc. (hereinafter referred to as ‘Google’). Google Analytics uses cookies, 3 of which we may use for our website. _ga will expire after 2 years. This cookie will create information on your use of our website and usually transmit such information to one of Google’s servers based in the U.S. where it may be stored. Before it is stored, your IP address will be anonymised by Google if you are located in any EU or member state or in any other Contracting State to the Agreement on the European Economic Area. Only in exceptional cases will your complete IP address be transmitted to and truncated on a U.S.-based Google server. To achieve this, Google Analytics has been upgraded using the ‘anonymizeIp’ code on our website.
As part of a contract, Google will use this information on our behalf to evaluate your use of this website, create reports on your website activities and provide to us any other services related to website and internet usage. The IP address transmitted from your browser as part of the Google Analytics service will not be merged with other Google data.
We shall not use these cookies unless you accept their distribution and storage by means of a declaration of consent.

By processing this information we shall pursue our legitimate interest in determining the success of our promotional activities as well as the planning, design and control of such activities; furthermore we wish to analyse who uses our website in what manner to identify any need for adaptation in an effort to improve the use of our website, develop new offerings and improve our company’s income opportunities as needed.

- Social Media
We shall use Facebook, XING and LinkedIn for promotional on-line presence purposes by including static social media links on our website, www.traser-software.de.
The bottom section of the website’s side bar displays static links to our social media websites including Facebook, Twitter, LinkedIn and XING. These buttons are effectively linked to the static links. Clicking a button will do nothing but open our page on the relevant social network. This process does not include sharing any content in any way or transmitting any personal data to the relevant social network.
- YouTube Integration
Our website may use plug-ins provided by the YouTube website operated by Google. This website is operated by YouTube, LLC, 901 Cherry Ave., San Bruno, CA 94066, U.S.A. Once you visit one of our web pages using a YouTube plug-in you will be connected to the YouTube servers. In this process the YouTube server will be informed which of our web pages you have visited.
Being logged on to your YouTube account means you have allowed YouTube to associate your browsing behaviour directly with your personal profile. You may avoid this by logging out of your YouTube account.
By embedding YouTube videos a number of connections will be made to Google’s servers, enabling the system to store a number of cookies in your browser and transmit any relevant information to YouTube and Google’s DoubleClick advertising service:

We may use such videos to inform you on the marketing opportunities for your products.

- Contact form and contact by e-mail
Our website offers a contact form you may use to contact us directly via e-mail. You may use this form for any general inquiries or requests, for any type of direct approach, to register for events or when ordering a Distributor Product Demonstration. Once a user makes use of this form, the information entered into the input fields will be transmitted to us and stored on our system.
In addition, the system will store the user’s IP address current at the time of submitting the message.
While submitting your message, you will be referred to this Privacy Notice and asked to give your consent.
Alternatively, you may contact us using the provided e-mail addresses (support@traser-software.de or info@traser-software.de) for customer support and any other inquiries or requests. In this case the personal data transmitted along with your e-mail message will be stored on our system. This includes communication data such as your e-mail address and phone number as well as personal data such as your name and your message. The same process is used when processing TRASER product brochure requests.
In this context, no information or data will be disclosed to any third party. Such data will be used for no purposes other than processing the conversation.
The legal basis for processing such data is GDPR Article 6(1) point a provided that the user has given their consent.
The legal basis for processing the data transmitted along with the e-mail message is GDPR Article 6(1) point f.

The data entered into the input fields shall be processed for the sole purpose of processing your contact message. In the event of contact by e-mail, this also constitutes the required legitimate interest in processing the data. Any other personal data processed while submitting the message shall be used to prevent misuse of the contact form and to ensure the security of our information technology systems.
Such data will be deleted once it is no longer needed to achieve the purpose for which it was collected. This also applies to the personal data from the contact form input fields and the data sent by e-mail once the respective conversation with the user has been completed. The conversation shall be deemed completed once the circumstances suggest that the subject of the discussion has been clarified.
Any additional personal data collected while submitting the message shall be deleted no later than seven days after completing the conversation.
The user shall have the possibility to revoke their consent to the processing of their personal data at any time. If the user contacts us by e-mail, they may object to us storing their personal data at any time. In this case the conversation cannot be continued. To object as a user, please send us an informal message.
Any personal data stored during our conversation will then be deleted.
- Contact by telephone
If you decide to contact us by telephone, your phone number (if transmitted to us) will be stored in our calls history as the date of communication.
This information will be used to document our calls history. Such information will be automatically deleted after 90 days.
The legal basis for processing this information is GDPR Article 6(1) points a/f.
- Newsletter
Our (job offer subscription) newsletter will be dispatched after the user has registered on the https://traser-software.de/jobs/ website.
Our website offers the option to subscribe to a free newsletter on our current vacancies. Once the user registers for the newsletter, their data entered into the input fields will be transmitted to us.
In this process the user’s e-mail address will be stored as the date of communication.
In addition the following information will be collected as the user completes their registration:
Personal data: Target group, job category.
Address information: User’s place of residence.
In addition we may collect the following information:
IP address of the visiting computer.
Registration date and time.
As part of the registration process you will be referred to this Privacy Notice and asked to give your consent.
The newsletter will notify you of current vacancies and introduce new jobs, giving you the opportunity to apply for a job at our company.
As your data is processed for the distribution of newsletters we shall not pass on your data to any third parties. Your data will be used internally and for no purposes other than dispatching the newsletter.
The legal basis for processing such data after the user has subscribed for our newsletter is GDPR Article 6(1) point a, provided that the user has given their consent.
Any other personal data collected during the registration process will be used to prevent third parties from misusing the offered services or the e-mail address used.
Storage term: The data will be deleted once it is no longer needed to achieve the purpose for which it was collected. This means the user’s e-mail address will be stored for the duration of the active newsletter subscription.
The newsletter subscription may be terminated any time by the relevant user. Each newsletter contains the relevant link for this purpose. At the time of terminating the newsletter subscription the user’s personal data will be deleted.
- Recipients of personal data
Your personal data will be transmitted to the following recipients:
a. Personal data recipients include companies which have signed an order processing contract:
- Zendesk, Globales HQ 1019 Market St, San Francisco, CA 94103, U.S.A.
- Host Europe GmbH, Hansestrasse 111, D-51149 Cologne, Germany.
b. Companies such as service providers, advertising partners, third-party cookies etc. with no order processing contract in place are regarded as Third Parties by the GDPR.

C. Rights of the data subject
GDPR Article 4 defines a data subject as a specific natural person or natural person who may be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an on-line identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.
The rights of the data subject as defined by the GDPR describe the rights of each individual person against the people responsible for processing the data.
Pursuant to GDPR Article 15 et seqq., as a data subject you are entitled to the following:
Right of access by the data subject
Pursuant to GDPR Article 15 you have the right to request us to confirm whether any of your personal data will be processed. If this is the case, you have the right to access such personal data as well as any other additional information as described in GDPR Article 15.
Right to rectification
Pursuant to GDPR Article 16 you have the right to request us to immediately rectify any errors concerning your personal data. Taking into account the purposes of processing such data, you also have the right to request completion of any incomplete personal data, including by means of a supplementary declaration.
Right to erasure
You have the right to request us to immediately delete any of your personal data. We are obliged to immediately delete any of your personal data provided that the relevant requirements defined by GDPR Article 17 are met. For details please see GDPR Article 17.
Right to restriction of processing
Pursuant to GDPR Article 18 you have the right to obtain restriction of processing from us provided that certain criteria are met.
Right to object
Pursuant to GDPR Article 21 you have the right to object, on grounds relating to your particular situation, at any time to the processing of your personal data, which is based on points a or f of Article 6(1), including profiling based on those provisions.
If you wish to exercise one or more of your rights, please use the above contact details to contact us as the responsible person. You will make it easier for us to process your request if you provide us with proof of your identity so we may forward your request to the person concerned.
